Jamie, parents and carers

We are just a few weeks away from Hesfest camp and we now have some further information to share with you.

Arrival – Please arrive as close to 6pm as possible but be aware that getting into camp will be extremely busy. On arrival there will be a one way vehicle system and Explorers should remain in cars where you will be directed to the top field for drop off and where you will be met by our leaders. Parents are not allowed on the campsite, so please drop off when requested and leave on the one way system in order to keep traffic moving and make space for other cars. Explorers should be able to carry all of their own kit to the camping area so please pack efficiently and with as few bags as possible.

Medication – Please hand in any medication when you arrive at camp if you self-medicate please come and see us so we know you have it. If you have inhalers please bring a spare one.

Spending money – Sensible amounts please. There is a shop onsite that sells drinks, sweets and small gift items. We do not expect Explorers to be missing meals because they have overfilled with sweets and fizzy drink and in the same vane would also not be impressed if anyone was sick due to excessive treats. Eating in tents late at night will be positively discouraged and Explorers will be expected to clear away any litter that they create. Sticky sweets in tents attract vermin both on site and once tents are packed away after camps.

Explorers will be responsible for their own cash and bank cards as we have nowhere safe for these to be kept.

White T-shirt – Please bring a cheap white T-shirt for the color splash on Saturday evening. These will be decorated during the camp but will then be used for the paint splash on Saturday. A carrier bag may be useful to keep it in to take home.

Photos – We will be publishing photos throughout the weekend on the Barnsley Explorers website https://barnsleyexplorers.co.uk/2024/02/26/hesfest-2024/

Please also ask to join the ‘Barnsley Explorers and Young Leader’ facebook page if you are not already a member and wish to see updates for camp as well as other events and activities that Barnsley Explorers get up to.

Contact numbers while on camp – There will be 2 main contacts on the camp. Please use these numbers if you need to make contact or if you are contacted by your young person with any issues as this avoids mis information and means that leaders are aware if any problems should arise.

Electronics – We understand that mobile phones will probably be brought to camp but all electronics that come on camp are at YOUR OWN RISK. We have no charging facilities and cannot be responsible for them. There will be water activities over the weekend and we don’t want to see young people not joining in because they have electronics in their pockets.

Departure – will be at 3:30pm and collection will be from the top field via the one way system. Explorers will be ready to leave as long as camp is packed down so please do not arrive early. Please follow the parking marshalls and try to remember that everyone will be tired including leaders who will still have more work to put kit away.

Please check for updates for collection in case timings change.

Tents – Dragon, Scorpion and Hedgehog Explorers are planning to meet at Hesleywood Scout camp on THURSDAY 4 July 7-9pm to put up the tents for camp. Please look out for further details from local leaders regarding this.

If there is any further information to share then we will be in touch

Regards

The leader team

It’s just over a month away until HESFEST and there are some final administration tasks to be sorted beforehand. Please follow the 3 links asap to complete the medical information form, shooting consent and Pizza order form.

Jamie from Dragons will be the camp lead and will be available for contact throughout the time at camp. There will also be Alison, Lisa, Beth and Peter supporting at camp too and emergency contact details will be sent nearer to the start of the camp.

You final payment of £22 should have also either have been paid, initiated or waiting for you to click the ‘pay now’. Please check in OSM that this has been actioned.

A kit list has been added to OSM as a guideline. Please pack for the weather and remember that everything brought must be carried into and out of camp by Explorers as there is no transport around camp and parents will need to drop and go as there will be no parking. Tents will be provided.

As this is a festival type weekend please make sure that old clothing is sent as it will invariably get dirty and possiby damaged. Explorers will also require a cheap white TShirt for the Saturday evening activities.

Electronics are not encouraged but we understand that some Explorers will still bring them. Please note that we have no building access and no charging facilities or safe storage. Electronics are brought at your own risk.

We are looking forward to seeing everyone in July and joining in the Hesfest fun!

The medical information is required to be held as a paper copy for the period of the camp so we need these asap in order for us to get these printed.

The shooting consent is required for any Young person that wants to do shooting on camp and they will be issued with a wrist band and only allowed to take part in this activity if we receive their consent.

The Pizza order is required for Saturday evening meal. We have used this option several times previously and is always a popular choice with Explorers on camp.
